Refund and Cancellation Policies
CANCELLATION POLICY
Reserving your beach equipment with Crystal Coast Beachside Grills & Gear secures inventory specifically for your rental dates. Because availability is limited, our cancellation policy is structured to ensure fairness and operational planning.
Standard Cancellations
- Cancellations made fourteen (14) or more calendar days prior to the scheduled delivery date will receive a full refund less a $25 processing fee.
- Cancellations made between thirteen (13) and seven (7) calendar days prior to delivery will receive a 50% refund less a $25 processing fee.
- Cancellations made fewer than seven (7) calendar days prior to delivery are non-refundable.
All cancellation timeframes are calculated based on the originally scheduled delivery date.
Weather Policy
Normal coastal weather conditions — including rain, wind, heat, temporary beach closures, or personal preference — do not qualify as grounds for cancellation or refund.
Mandatory Evacuation Orders
If Carteret County Emergency Management or another governmental authority issues a mandatory evacuation order that prevents delivery or use of rental equipment, refunds will be issued only for the specific rental dates directly impacted by the official evacuation period.
Rental dates occurring outside the officially designated evacuation period remain fully chargeable.
Customers may alternatively request to reschedule impacted dates, subject to availability.
Processing Time
Approved refunds for cancellations will be processed within seven (7) to fourteen (14) business days.
REFUND POLICY
Crystal Coast Beachside Grills & Gear is committed to clear and transparent refund procedures.
Security Deposit Refunds
Where a security deposit is required, it will be refunded after equipment pickup and post-rental inspection, provided that:
- All rental equipment is returned
- Equipment is reasonably clean
- No damage beyond normal wear and tear is present
- No items are missing or stolen
Security deposits are processed within two (2) to three (3) business days following inspection and returned to the original payment method.
Cleaning, Damage, and Replacement Charges
Security deposits may be partially or fully withheld if:
- Equipment is returned excessively dirty
- Grills are returned with excessive grease buildup or undisclosed shellfish use
- Equipment is damaged beyond normal wear and tear
- Equipment is lost or stolen
If total charges exceed the security deposit amount, the remaining balance may be charged to the payment method on file in accordance with our Rental Terms and Conditions.
Emergency-Related Refunds
Refunds related to mandatory evacuation orders will be issued in accordance with the Cancellation Policy and apply only to dates directly impacted by the official order.
Non-Refundable Circumstances
Refunds are not issued for:
- Weather-related inconvenience
- Early departures not caused by mandatory evacuation
- Improper use of equipment
- Denied access preventing pickup
- Failure to review rental policies prior to booking
